The Project Support Specialist provides high-level administrative and executive support to corporate executives, some of whom work remotely. This position is full-time and requires flexibility, dependability, responsiveness, and the ability to work both virtually and in a small office environment. Regularly required to resolve complex administrative problems independently
  • Effectively supports all aspects of the Chief Operating Officer, Chief Financial Officer and General Counsel by; conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings for executives
  • Provide analytic support for leadership, to include preparation and examination of various financial management reports
  • Project manager for various projects as required by team members
  • Assist in the creation and maintenance of presentations and policies to ensure consistency, accuracy and applicability as required for business purposes
  • Provide support for scheduling, project tracking, invoice payment processing, and operational reporting requests
  • Must be able to manage multiple executive team members with competing project deadlines
  • Manage and maintain complex calendars and coordinate appointments, meetings, and conference calls. Requires attention to detail as there is a high volume of appointments in a fast-paced environment
  • Understand corporate wide policies and procedures and ensure conformity and consistency in application of guidance
  • Must be an independent thinker and problem solver
  • Create meeting agendas, compose letters and other types of communications
  • Initiates and receives regular outside contacts on behalf of NLCS with executives, board members, regulators, and other constituents as required. May represent the team in an internal or external capacity
  • Handles highly confidential and sensitive information as appropriate
  • Schedules and coordinates travel/conference arrangements
  • Assists with administration, billing and analysis of Corporate American Express program
  • Assist with and / or prepares information for quarterly Board meetings at community and Corporate level
  • Assists with all aspects of bond financing transactions at direction of CFO or designee

Some Job Responsibilities:

  • Associate’s degree in Business, Human Services or related field preferred
  • Five years of experience in business/office management is required; preferably in a health care or service related environment
  • Visibility requires maintaining a professional appearance and providing a positive company image
  • Must possess strong written and oral communication skills; able to maintain confidential information
  • Advanced skill set with Microsoft Office software applications (Project, Word, Excel, PowerPoint and Teams), Share Point, I Contracts, Drop Box and Skype (or similar web hosting meetings)
