POSITION SUMMARY: The Major Gifts Coordinator supports the Director of Major Gifts to achieve team fundraising goals for Project HOPE’s lifesaving work around the world.

The position oversees all aspects of project management for collecting, compiling, analyzing, and maintaining donor records for Project HOPE’s major and planned giving programs, as well as setting internal systems to maximize donor outreach and engagement. The position also provides general support for the administration of all team projects and needs. The position is located in Project HOPE’s Bethesda, MD, office.

PRINCIPAL RESPONSIBILITIES:

Database and Moves Management:

  • Creates and maintains constituent files and updates donor records in a custom database
  • Creates best practices with the director and a consultant for data integrity, input and ease of pulling reports.
  • Works with colleagues on the direct response team to manage the movement of mid-level donors into and out of the major gifts portfolio
  • Creates best practices regarding coding, notes, and data integrity in the database around this flow

Donor Support:

  • Works with internal teams and external agencies to help streamline and systematize the gift processing and acknowledgement of donors
  • Conducts prospect research using wealth indicator and online tools
  • Edits gift proposals and reports as needed

Donor Stewardship:

  • Supports the mailing production for the major and planned giving programs, including quarterly newsletters, annual reports, cultivation and appeal mailings, holiday cards, donor listing confirmation mailings and surveys, and event invitations

Vendor Management and Data Collection:

  • Works with vendors involved with major gifts and planned giving products and services to streamline outreach to donors, respond to inquiries, and maximize service tools
  • Reviews data dashboards to help report at monthly and quarterly department meetings

Operations:

  • Collaborates across the development and communications team to create best practices on Microsoft Teams platform and shared drives for general filing, logging and labeling documents and correspondence to assure retention and access to information.
  • Performs other administrative duties as needed, including expense reports on behalf of the director and ordering of supplies.

MINIMUM QUALIFICATIONS:

  • 5 years’ experience in an administrative capacity; development and non-profit experience preferred
    Bachelor’s degree in a related field
  • Poised and professional communication style – in person, over the phone, and in writing
  • Strong interpersonal skills with ability to develop positive relationships quickly and work in a team atmosphere
  • Strong project management skills
  • Ability to respond flexibly and resourcefully to workload fluctuations, demonstrating initiative and problem solving skills
  • Demonstrated ability to work in a fast-paced entrepreneurial environment
  • Detail-oriented, organized and can handle multiple projects at one time
  • Able to work independently with minimal supervision and demonstrate motivational skills, professional maturity, and the ability to maintain confidentiality of information
  • Proficient with Microsoft Office suite of products and in doing online research
  • Experience in development and donor-facing roles preferred
  • Experience with international relief or global health sectors preferred
  • Experience using a CRM such as Raiser’s Edge, Salesforce, or NetForum preferred
