Essential Functions of the Position:

  • Responsible for the administrative tasks necessary for the preschool to operate efficiently

Other Responsibilities

  • Oversee all administrative aspects of the ECC, including external vendor/account relationships, management of information systems, and developing a working knowledge and competency of the acquisition platforms used for purchasing from vendors
  • Track teaching staff leave and coordinate substitute staffing to cover all staff leave. Maintainsystems for developing our substitute list and “on-boarding” substitutes and volunteers, including sign-in sheets and orientation
  • Organize and maintain all student files
  • Support the work of the classroom teachers
  • Address the needs of parents as requested
  • Complete and submit all Request for Payment forms
  • Distribute supplies, fliers, etc. as needed
  • Serve as a liaison to the ECPC in the tasks they need completed
  • Oversee car pool
  • Update and maintain our school calendar in our e-newsletter and on our website. Ensure that upcoming events on our website are updated regularly
  • Keep financial systems moving smoothly – processing and keeping track of invoices, check requests, and reimbursements
  • Along with the ECC Office Manager, serve as the “Director of First Impressions,” including answering incoming calls from parents and prospective parents with a polite and service-oriented affect, greeting school visitors, responding to basic parent inquiries, and maintaining a working knowledge of our programs and pedagogical approach to be able to provide tours for prospective families.
  • Keep our student and staff databases in shape by updating registrations and staff changes in a timely manner
  • Serve as administrative assistant to the ECC leadership team (Director, Curriculum Director, Art Specialist, and Office Manager), including assisting with the arrangement of room set ups, ensuring materials and foods needed are ordered and available, assisting with setup and cleanup of school programs (during school hours)
  • Support teaching staff with copying, laminating, and other administrative help as needed
  • Other duties as assigned

Knowledge, Skills & Abilities Required:

  • Strong organizational skills and ability to multi-task as well as manage multiple projects simultaneously
  • Strong computer skills, including Word, Excel, PowerPoint, Publisher
  • Strong interpersonal, verbal skills, and written communication skills
  • Motivation to continue to learn about sound educational practices
  • Ability to work independently as well as collaboratively
  • Know safety protocol and maintain a calm and professional demeanor even in stressful situations
  • Educational Degree(s), Professional Degree(s) or Certificate(s) Required:
      • College degree preferred
      • Three to five years related work experience

Other Requirements:

  • Knowledge of, and respect for, the mission of the Bender JCC.
  • Knowledge of the rules and regulations of the Bender JCC, including its Personnel Handbook, and to abide by them
  • Work in a team environment.
  • Communicate effectively with others, verbally and in writing
  • Perform other duties and responsibilities as needed, required, or assigned
